Billing, Refund & Cancellation Policy

1. Subscription Plans

NextGen Grant OS is offered on a subscription basis with the following tiers:

Feature limits by plan:

  • Free: 1 user, 5 proposals, 10 AI chats/day, 5 grant searches/day
  • Professional: 10 users, unlimited proposals, 100 AI chats/day, 50 grant searches/day
  • Enterprise: Unlimited users, unlimited proposals, unlimited AI chats, unlimited searches, dedicated support

All prices are in USD unless otherwise stated.

2. Auto-Renewal

Subscriptions automatically renew at the end of each billing period (monthly or annual) unless you cancel before the renewal date. You authorize RavDev Technologies (via Stripe, our payment processor) to charge your payment method on file for the renewal amount.

We will send a renewal reminder email at least 7 days before annual subscription renewals.

3. Annual Subscriptions

Annual subscriptions are billed in full at the beginning of each subscription year. Annual plans typically offer a discount compared to equivalent monthly billing.

4. Payment Processing

All payments are processed securely by Stripe, Inc. RavDev Technologies does not store your full payment card number. We store only the payment method token provided by Stripe.

Accepted payment methods:

  • Major credit and debit cards (Visa, Mastercard, American Express, Discover)
  • ACH bank transfers (US only, Enterprise plans)
  • Wire transfers (Enterprise plans, by arrangement)

5. Failed Payments

If a payment fails:

  1. We will retry the payment up to 3 times over 7 days
  2. You will receive email notifications of each failed attempt
  3. If payment is not collected after retry attempts, your account may be suspended
  4. Suspended accounts retain read access to existing data for 30 days
  5. After 30 days of non-payment, the account may be terminated and data deleted per our Data Retention Policy

6. Plan Changes

Upgrades

When you upgrade to a higher plan, the change takes effect immediately. You will be charged a prorated amount for the remainder of the current billing period.

Downgrades

When you downgrade to a lower plan, the change takes effect at the start of the next billing period. You will continue to have access to the higher plan features until the current period ends.

Enterprise Custom Terms

Enterprise subscriptions may have custom billing terms established in a separate Order Form or Enterprise Agreement, which govern in case of conflict with this policy.

7. Refund Policy

General Policy: All subscription fees are non-refundable except as required by applicable law. Exceptions:
  • If you cancel within 14 days of your initial subscription start date and have not used the Service, you may request a full refund by contacting support@ravdevtech.com.
  • RavDev Technologies reserves the right to issue refunds or credits at its sole discretion in exceptional circumstances.
  • Refunds required by law (e.g., EU consumer rights for residents who have the right of withdrawal) will be honored.
Credits: We may issue account credits in lieu of refunds for service disruptions or other qualifying circumstances. Credits are applied to future billing and are non-transferable.

8. Cancellation

You may cancel your subscription at any time:

  • Self-Service: Cancel through your account settings under Billing
  • By Email: Contact support@ravdevtech.com with your cancellation request
Effect of Cancellation:
  • Cancellation takes effect at the end of the current billing period (you retain access until that date)
  • You will not be charged for the next billing period
  • Your data will be retained for 90 days after the subscription ends, after which it will be deleted per our Data Retention Policy
  • Annual subscribers who cancel mid-year are not entitled to a prorated refund unless required by law

9. Taxes

All fees are exclusive of applicable taxes. You are responsible for all sales taxes, VAT, GST, or similar taxes imposed by applicable governmental authorities on your subscription. For EU customers, applicable VAT will be charged based on your billing address.

10. Disputed Charges

If you believe a charge is incorrect, contact support@ravdevtech.com within 30 days of the charge date. Include your account email, the charge amount, charge date, and reason for dispute. We will investigate and respond within 10 business days.

Chargebacks initiated with your bank before contacting us may result in account suspension during investigation.

11. Changes to Pricing

We reserve the right to change subscription pricing with at least 30 days notice via email and in-Service notifications. Price changes take effect at the start of your next billing cycle after the notice period. Continuing to use the Service after a price change takes effect constitutes your acceptance.
